HLNY managed event attendance on paper, then manually translated that data into a strict format required by their national organization to allocate continuing education credits. The process was slow, tedious, and error-prone.
Attendance records, signatures, and CE credit allocations now export automatically in the exact format the national organization requires, the moment an event ends.
The challenge
Every HLNY event ran on clipboards and paper sign-in sheets. After the room cleared, staff faced a second job: manually translating handwritten attendance data into the specific digital format their national parent organization required to allocate continuing education credits to healthcare workers and leaders across the New York branch.
The format requirements were strict and unforgiving. A missed field, a misread signature, or a transposition error meant the upload failed, or worse, went through with wrong information. The work was slow enough that it was always a grind, and error-prone enough that it required careful checking every time.
The approach
We built Eventy, a custom tablet application designed entirely around HLNY's event intake workflow. Before each event, the app loads the guest list directly from their Eventbrite account. No manual list preparation, no printed sheets.
We designed two sign-in modes to cover both common scenarios: a self-service flow where attendees find their own name, confirm their details, and sign directly on the tablet; and a staff-assisted flow for managed check-in. Either way, every field required for compliance is captured in a single step. No reconciliation needed afterward.
The core of the system is the export layer. Once an event closes, Eventy transforms the collected attendance and signature data into precisely the schema the national organization requires. The file is ready to upload immediately. No reformatting, no re-entry, no conversion work.
The results
The post-event data translation step was eliminated entirely. What used to be an hour of tedious manual work now takes seconds.
CE credits are allocated to healthcare professionals across the New York branch as soon as the export is generated. No lag, no errors from re-keying.
HLNY's event staff now close out an event by walking out the door, not by spending the next hour at a desk.
